Training
All Department of Campus Recreation and Intramurals staff is required to attend a general training prior to the start of the fall and spring semester. This training is imperative to the success of the department and is mandatory for all employees.
Certifications
All employees are required to be currently certified in CPR and First Aid. The department will provide the training free of cost. CPR is good for one year and First aid is good for 3 years. It is the responsibility of the employee to keep his/her certification current and sign up for a class when certification is near expiration. Area specific certifications should be copied and given to your direct supervisor.
Communication Maintenance
It is the responsibility for the all staff to check their e-mail prior to each shift. We ask that work related e-mails only be opened while you are clocked-in. A weekly e-mail will be generated by Personnel Intern with updates and vital department information. Please take the time to read these e-mails. You are required to know this information. Area specific information will be updated in area logbooks. Please take the time to read these memos/updates.
E-mails: All employees are to provide the department with a working e-mail address. These will be used for updates and substitutions. We ask that these e-mails are used for work purposes only and are professional in nature.
Eating On the Job
You are not allowed to eat or have soft drinks at any of the workstations. Unless your shift is longer than 4 hours, breaks are not paid for and arrangements must be made prior to or after your shift for eating. Consumption of food or beverages must be done away from your workstation.
Homework/Studying
• Doing homework, reading newspapers, magazines and books are not permitted. IF you have a test or project to complete, find a sub to cover your hours. When “slack” periods occur, you should request other work related tasks or take the initiative to find something to do (clean up the activity area, re-stock inventories, update notebooks/bulletin boards, etc).
• Computer Usage is limited to ARC business ONLY! DO NOT check your email, go “on-line,” change computer settings, etc. IMMEDIATE Dismissal!
Visitation
• You are generally not allowed to visit with friends at your workstation. You may visit very briefly (2-3 minutes) and only if you are not working on something or it does not interfere with your work related duties. Do not allow friends to sit in office chairs, guard chairs, on countertops or on desks!! It is the responsibility of the student employee to secure a substitute should they need time off!
• Telephones are for program purposes; do not tie up office phones with personal conversations. If you need to use the phone for a personal emergency, use the courtesy phone in the lobby. Cell phones are NOT permitted while on duty!!
Cleaning
Student workers are required to keep workstations neat and free of trash at all times. This may also entail mopping/vacuuming, if necessary, as well as on-going straightening of the areas. Take the initiative to pick up in other areas of the ARC!!
Locker Use
The Office of campus recreation staff may use lockers for personal use, but must adhere to the general locker policies. They must provide their own lock and remove belongs at the end of the day.
Telephone Policy
In order to provide the best customer service possible the use of cells phones are not permitted when working. Please remember to silence the ringer during your shifts.
Student Personnel Team Members/Supervisor Relationship
The professional staff, graduate assistants and building supervisors supervise student personnel team members. The relationship between a supervisor and employee is an important one for smooth operation of our department. An employee’s supervisor is the person to contact whenever a question, complaint, concern or suggestion arises.
The supervisor is also responsible to the department for the job performance of their student personnel team members. In assuming this responsibility, the supervisor assists in the training of personnel and is the judge of each student team employee’s job performance. An orientation and training will be provided to all new personnel in order to prepare each member to be successful in meeting their job responsibilities. The supervisor has the responsibility for coaching and helping improve performance. Supervisors are required to notify senior management when performance improvement efforts have been resisted or unsuccessful.
The Office of Campus Recreation stresses communication among all team members. Combining an open mind with good listening skills and candid communications can be a great asset in resolving conflicts and addressing problems. Respect for other staff member’s ideas, abilities and talents are emphasized. Should a student personnel team member have concerns over job conditions, co-workers or management, the first step is to discuss the situation with their immediate supervisor. Should the response not be adequate or solve the problem, an appointment to discuss the situation with the Assistant Director and/or Director should be established.
Arriving for Shifts
When reporting to work:
• Make sure you are wearing your ARC Staff shirt and nametag.
• Ask the person you are relieving if there are any outstanding issues that you should be aware of or if they have started a task that needs completing.
• Perform regular assigned duties.
• Take the initiative to find SOMETHING to do!
Sign In/Out Procedures
• There is no such thing as “on time.” There is only early and late. Report to work at least 5-10 minutes prior to the start of your shift so that you are ready to be assigned duties by the scheduled time.
• An employee is to work all assigned scheduled hours unless prior arrangements have been made with his/her immediate supervisor or building supervisor and/or a substitute has been found.
• When leaving work:
- Relay all messages and assignments to your relief staff.
- If you do not complete an assignment/task, make sure all pertinent information is passed on to your relief so that the assignment/task may be completed in a timely fashion.
-Record your hours in E-Time! Hours must be recorded by midnight of the last Friday of the pay period. “Sign” your hours!
Breaks
Unless your shift is longer than 4 hours, breaks are not paid. If an individual works a four hour shift, he or she is allowed one 15-minute paid break. If an individual works a five hour shift, he or she is allowed one 30 minute unpaid break. If an individual is taking a break, or leaving their position for any reason, he or she must notify the team leader or supervisor to cover the area.
Scheduling
There are four general areas considered when preparing work schedules:
1. Availability
2. Abilities (knowledge, job performance and skill)
3. Dependability
4. Longevity
• Work schedules are generally made out at the beginning of each semester by the activity coordinator. In Intramurals, officials’ schedules are made weekly or by season. It is your responsibility to turn in your Availability Sheet by the date requested. You must also turn in your class schedule for each semester.
• Copies of employee work schedules can be picked up from your immediate supervisor; schedules are also posted in each work area.
• You cannot be guaranteed the full amount of hours you request, or the times you requested. Schedules depend on the total personnel pool available for the job. Every effort will be made to schedule you as many hours as possible for your availability and skill level.
• Your assistance during final exams will be requested and appreciated. Staff should work their scheduled hours when possible. Post SUB slips for shifts you cannot work. Notify your supervisor when you are leaving for Breaks! If you can fill additional hours, please do so!! You may work up to 37.5 hours, if needed!!
Call Off Work Policy
• If you call off of your shift due to illness, you are required to notify both your direct supervisor and your workstation. Depending on the nature of your illness/injury, you should try to call a SUB.
• You MUST provide a note from the McLachlan Student Health Center or another viable health care service provider detailing your illness, if required by your supervisor.
• This note will be placed in your employee file and serve as an excused absence.
Substitution Policy
• It is your responsibility to find a replacement if you are going to be absent from a scheduled shift. Post your request in the SUB book at least 3-5 days prior to the date you need off. If less than 3 days notice is given, you must notify your supervisor that a sub request is being posted.
• If a sub request is not filled, in a timely manner, you should start calling co-workers in your area to find a sub. It is your responsibility to work your scheduled hours, if you cannot get a SUB.
• The supervisor will determine emergency situations in which a team member is excused without utilizing a sub.
Tardiness
• Excuses such as, “I couldn’t find a parking space” or “I overslept” will not be accepted.
• It is your responsibility to be at work on time. If you are going to be late, call your supervisor and your work station as well as the Welcome Center (724.738.4800/4801) to assure your workstation is covered until you arrive.
• Make sure you “dock” yourself the time you missed and THANK the worker that covered your shift – when possible, return the favor!
Student Staff Parking
• Student staff members must abide by current SRU Parking regulations (You must have a parking decal!!). PLEASE DO NOT park in the STAFF/FACULTY lot during the hours of 8:00 a.m.- 4:30 p.m. Monday – Friday.
Parking in the maintenance turn-around behind the pool is prohibited at all times.
• Bicycles must be parked at the designated bicycle racks.
• Any bicycle locked to and/or blocking handrails, stairs,
• disability access and general patron access
• will be ticketed and/or confiscated. Bikes are not
• permitted to be parked IN the ARC along walls
• or in offices – please bring a lock!!
Employee Conflict Resolution
The Office of Campus Recreation seeks to resolve student worker complaints as promptly and as fairly as possible. Student workers are encouraged to discuss complaints and concerns with their immediate supervisor in informal meetings as soon as possible. Please set up a meeting with your immediate supervisor, or additional Campus Recreation administrators, if necessary.
