Late-Night Activity Policy

New late-night activity guidelines are being implemented in the University Union. Effective immediately, reservation requests for events that extend beyond 10:00 p.m. on Friday or Saturday nights must be submitted at least 30 and preferably 45 days in advance. If the request is approved, the requesting organization will be required to complete a late-night event checklist that includes submission of a $50.00 cancellation deposit, involvement of at least one faculty/staff advisor that will attend the event, and participation in a security review meeting in preparation for the event. Scheduling & Posting Policy Summary

  1. Recognized Student Organizations and University Departments can view room availability at http://schedule.sru.edu and should do so prior to requesting any campus facility.
  2. Reservation request forms are available at the University Union Information Desk. A faculty or staff advisor must sign reservation requests made by student organizations.
  3. Completed reservation request forms should be submitted to the University Union Information Desk. Reservations for large events should be submitted at least one month in advance. Reservations for meetings should be submitted at least one week in advance. Individuals interested in immediate room usage must check at the Information Desk.
  4. Reservations are filled on a first-come, first-serve basis.
  5. The University Union reserves the right to reassign space or assign alternate space in order to accommodate as many events as possible.
  6. Departments and organizations should report any cancellation of confirmed reservations as soon as possible. Failure to notify of cancellations or engaging in a recurring pattern of cancellations may result in restrictions on future use.
  7. All decorations must be approved by the University Union. The use of candles is strictly limited to only those events where the Catering office coordinates the usage.
  8. Posters and flyers should be submitted to the Information Desk for posting on the bulletin boards. Posters and flyers are not permitted on doors, windows, walls, pillars, railings, etc.
  9. Table tents are not permitted in the Union lobby or lounges. Organizations or departments may work with the Food Services office for permission to place table tents in Rocky’s Grille.
  10. Chalking is permitted on the Union patio as long as a washable and non-staining chalk is used and no chalking is placed under overhangs. Chalking of the building or other vertical surfaces is not permitted.
  11. Multi-Purpose Room:
    1. On-going or recurring events (e.g. weekly organization meetings) may not be scheduled in the MPR.
    2. Practices for performances or rehearsals are limited to one dress rehearsal in advance of the scheduled performance.
    3. A two hour set-up time and two-hour tear-down time is usually required.
    4. Only University Union employees are authorized to operate the MPR audio-visual system.
    5. All equipment needs and set-up diagrams should be confirmed approximately one month and no later than one week in advance.
    6. All decorations must be approved by the University Union staff.
  12. Information Tables: Five (5) information tables are available to be scheduled in the lobby of the University Union. Table reservations are limited to two consecutive calendar weeks per activity.
  13. Banners:
    1. Indoor banners should not exceed 3’ wide x 6’ feet long. Banners are hung on a space available basis for a maximum of two weeks per banner.
    2. Outdoor banners should not exceed 3’ wide x 10’ long. Banners must be made of sturdy, weather resistant material with appropriate grommets for hanging. Banners are hung on a space available basis for a maximum of two weeks per banner.
  14. Quad/SGA Pavilion: Requests to reserve the Quad or SGA Pavilion are processed through the University Union. The University Union confirms reservations only. The University Union does not provide equipment or technical support for events on the Quad. All requests for tables, chairs, electricity, audio-visual equipment, and other needs must be arranged with the facilities department by the sponsoring organization or department. University departments may not reserve the SGA Pavilion earlier than one month in advance of the planned event.
